RESPONSABILITIES

APULAYA – Center for Andean Culture is committed to providing all necessary services, as well as to taking good care of its students and guests, when operating, to avoid accidents or loss of personal properties. The members of our team are all qualified and experienced. However, APULAYA only accept responsibility for prejudicial actions caused by its personnel.

APULAYA – Center for Andean Culture doesn’t take responsibility for actions or events that are unpredictable or unavoidable.

APULAYA – Center for Andean Culture is not responsible for bad weather circumstances, accidents, physical damages, loss of personal properties, natural disasters, extra costs, strikes, etc. It is responsibility of each participant to get a travel insurance that covers such events.

APULAYA – Center for Andean Culture reserves its right to modify or cancel the program or a part of a program in case of unpredictable or unavoidable events which are out of our control.

On formalizing enrollment onto a course (and accommodation) participants accept the General Conditions and Payment Method, as well as the norms, rules and guarantees of APULAYA – Center for Andean Culture.

VISA

Participants from Western Europe, the USA, UK, New Zealand or Australia do not require a visa to enter Peru, though all participants have responsibility for enquiring about their particular case.

Participants from other countries must enquire about obtaining a visa at the nearest Peruvian Embassy or Consulate.

INSURANCE

We strongly recommend that all participants should hire a travel or medical insurance in their home countries. Participants are responsible for making sure that their travel or medical insurance policy covers them, in case of accidents or illness.

PAYMENTS

Please, inquire about our payment options, by e-mail, before and upon arrival.

ADMISSION OR EXPULSION

To make a reservation, we need the following information:

  • Names and surname
  • Passport number.
  • Nacionality.
  • Date of birth.
  • If you are student, please send us a copy of Isic card
  • Any other information that might be relevant to us

The program / excursion will be confirmed once the entire of the payment was done.

APULAYA – Center for Andean Culture reserves the right to cancel the participant’s place if on the day of their arrival they have not paid the total sum of the course, accommodation and other services contracted.

In the case of a serious disciplinary offence, repeated bad behavior or infringement of the laws of Peru, the participant will be expelled from the program and accommodation contracted with APULAYA – Center for Andean Culture without the right to any refund.
In the case that damages are caused to third parties, all the expenses claimed from APULAYA – Center for Andean Culture that originate from the above-mentioned incident will be charged to the participant, who will have no right to later claims.

REFUND POLICY AND CANCELLATIONS*

Before Arriva

Cancellations before arrival will be accepted in writing only (letter, telegram or e-mail):

  • 1 day prior to begin of the excursion/program: there is no refund
  • Between 2 and 7 days prior to begin of the excursion/program: 25% of refund
  • Between 8 and 15 days prior to begin of the excursion/ program: 50% of refund
  • Between 16 and 30 days prior to begin of the excursion/ program: 75% of refund
  • More than 30 days prior to begin of the excursion/ program: 90 % of refund

* Excluded from the Refund Policy and Cancellations are: flights, housing, bus- or train tickets, entrance fee tickets, tours, and courses and accommodation for groups; those need to be paid in full**.

** Exceptions for flights, hostels, bus- or train tickets, entrance fee tickets and tours can be negotiated however, this depends 100% on the cancellation and refund politics of the provider (airlines, hostels, rail companies, travel agencies, and other providers).

After Arrival

  • Money for course and/or accommodation and other services will not be refunded once the course (or accommodation) has started, except in cases of serious illness (of the participant or a direct family member) or another serious situation (for example, work or examination in home country, pregnancy or the obligation of doing military service).

In case of cancellation due to a serious illness or another serious situation the following procedures* are applicable:

  • Cancellations will be accepted in writing only.
  • In case of illness or pregnancy, a medical declaration that will be evaluated by a doctor, needs to be attached.
  • In case of work, examination or military service, an official declaration needs to be attached.
  • APULAYA will evaluate the situation and will consider a partial refund with a maximum of 75% for weeks that have not commenced yet with exception of the first two (non-refundable) weeks, in other words, for complete weeks left * (except: see what’s excluded below*).

APULAYA will refund this amount, at the latest 30 days after the original ending date of the course, by either bank wire transfer or Wester Union.

It is not possible to recover lost classes due to illness.

* Excluded from the After Arrival Cancellation Procedures are: flights, housing, bus- or train tickets, entrance fee tickets, tours, and all courses, programs and accommodation for groups; those need to be paid in full **, as well as other services including accommodation already utilized, and, incomplete weeks left.

** Exceptions for flights, hotels, bus- or train tickets, entrance fee tickets and tours can be negotiated but depend 100% on the cancellation and refund politics of the airlines, hostels, rail companies, travel agencies, and other providers.

ACCOMMODATION

The participant will be charged for the replacement of items broken either intentionally or through negligence.

APULAYA – Center for Andean Culture is not responsible for any personal items left at the host families or at the hostal.

STAY AT THE INDIGENOUS COMMUNITY, PILGRIMS AND VISIT TO CELEBRATIONS

Indigenous communities are situated in nature, their way of live is rustic, and weather conditions can be harsh. Some pilgrimage sanctuaries are only accessible through rustic and physically demanding footpaths.

Concerning educational excursions, the participants accept grades of difficulties they present (altitude, climate and footpaths’ conditions). APULAYA can neither be held responsible for participants´ personal injuries, nor for lost or damaged belongings and equipment.

APULAYA – Center for Andean Culture as operator of educational excursions to pilgrimage places, fiestas, indigenous communities reserves the right to cancel or change any excursion due to weather conditions, unstable political climate or participants’ unsuitability.

COPYRIGHT

APULAYA – Center for Andean Culture reserves the right to use all possible photos taken during the participant’s stay unless the participant refuses to give APULAYA his/ her permission to do so.
